How to Send Weekly Welcome Voucher Reminders in Shopify
The most effective way to increase activation rates is by sending a Welcome Voucher Reminder Email once per week, encouraging those who joined but haven’t placed their first gifted order yet to do so.
This guide will walk you through a step-by-step process to clean up your marketing list, remove unsubscribed reps, and ensure that your reminder is sent to the right individuals.
Before you begin, log in to your Shopify Admin panel.
Keeping your customer segments clean
To maintain an organised system, it's important to clean up outdated segments.

Navigate to Customers in your Shopify Admin.

Click on Segments in the left-hand menu.
-
Select outdated segments labeled as 'Imported on X date'.
-
Click Delete segments (far right-hand side).
-
⚠ Do NOT delete any other segments.

Open the 'BRAND REP UNSUBSCRIBED' segment.
-
Copy the email addresses of unsubscribed individuals.
Remove unsubscribed Brand Reps from your program
Brand reps who have unsubscribed should be removed from your program to ensure they don’t continue receiving vouchers or commissions.

Open a new tab and go to Collabs > Connections.

For each email copied from the 'BRAND REP UNSUBSCRIBED' segment:

Paste the email into the Search bar in Collabs Connections.

Select the individual and click Pause connection (far right-hand side).

Repeat this process for all unsubscribed individuals.
Export and Filter your Active Brand Rep list
Now, it's time to ensure that only active Brand Reps receive emails:

In Collabs Connections, remove any search filters to display all active reps.

Click Export (top-right) to download an Excel file.
-
Open the downloaded file in Microsoft Excel or Google Sheets.

Select Column E: 'Status' and apply a filter.
-
Filter by 'Archived' status and delete those rows.

Remove the filter and save the file (keep it open).
Import the updated Brand Rep list into Shopify

In Shopify Admin, go to Customers.

Click Import (top-right corner).

Click Download a sample CSV.

Open the downloaded file and delete all example data.

Copy Column G: 'Email' from your exported file and paste it into Column C: 'Email' in the sample CSV.

Delete any duplicate email columns.

In Column D: 'Accepts Email Marketing', type 'yes' and drag down to apply to all records.

Save the file.
Upload and overwrite customers in Shopify

Return to Shopify’s Customers screen.

Click Import and select your modified customers-template.csv file.
-
Check 'Overwrite existing customers'.
-
Click 'Add tags to customers' and enter the tag 'reps'.

Click 'Import customers'.
Send the weekly reminder email

In Shopify Admin, go to Apps > Email.

Locate the "New collab alert! YOU + BRAND-NAME" email that is typically sent every Wednesday.

Click the three dots and select Duplicate email.

Edit the Subject Line (remove 'Copy of').
-
Review and edit the email content as needed.
-
Click Review (top-right).
-
Click Schedule send.
-
Select 'Now' or schedule for a specific time.

Click Send.

Consistently following these steps each week is crucial for scaling your Brand Rep program. It helps increase activation rates and ensures your program remains clean and well-organised.
By making this a regular practice, you'll activate significantly more individuals into your Brand Rep program.
Tips for improving activation rates and scaling your program
Remember, you can send up to 100 invites per week, and I highly recommend using up this limit to maximize your outreach. You can send unlimited Gifted Vouchers valued at £20 GBP each to as many individuals as you wish and we will supply everything completely free of charge. Here are two key things to keep in mind when sending collaborator invites:
Filter by location
– Always use the 'Location' filter on the recruiting page to target collaborators in countries where you ship (e.g., the United Kingdom). You can check your Shipping Policy to confirm eligible countries. Only reach out to influencers in these locations.
Use the Audience Size filter
– If you're a brand-new brand, larger influencers may be less likely to collaborate at this stage. Use the Audience Size filter to set a maximum follower count in your search results. I recommend starting with influencers who have under 15,000 followers. You can expand this range later as your brand grows.
– If your brand is more established, you have the opportunity to collaborate with larger influencers who align with your audience. I recommend reaching out to influencers with a following between 10 to 100 times the size of your own social media audience.
